Microsoft Bookings: Create Shared Booking w/Team Member
Step 1: Set Up Microsoft Bookings Page
1. Access Microsoft Bookings
a. Go to Microsoft 365 and sign in.
b. Click the App Launcher (grid icon) in the top-left corner and select Bookings.
c. If you don’t see it, search for “Bookings” in the app list.
2. Create a New Booking Page
a. Click “Get started” (if it’s your first time) or “New booking calendar”.
b. Enter your business or team name and choose the Business Type.
c. Click Next, then adjust basic settings like time zone and business hours.
3. Customize Services & Availability
a. Under “Services”, create appointment types by clicking “Add a service”.
b. Set:
i. Service name (e.g., Consultation, Meeting, Training Session)
ii. Duration
iii. Availability (if different from default business hours)
c. Assign staff members to the service.
4. Add Staff Members & Sync Calendars
b. Click “Add staff” and enter their email addresses.
c. Assign roles:
i. Administrator – Full control over Bookings.
ii. Viewer – Can view but not edit.
iii. Guest – Limited permissions.
d. Enable “Events on Office calendar affect availability” to sync with Outlook.
5. Publish & Share the Booking Page
a. Under the “Booking page” tab, adjust:
i. Scheduling policies (buffer time, lead time, max bookings per day).
ii. Notifications (email confirmations and reminders).
b. Click “Save & Publish” and copy the public booking link to share with clients.
Step 2: Set Up Individual Outlook Calendars for Sync
Each staff member should ensure their Outlook calendar syncs correctly.
1. Check Microsoft Bookings Integration
a. Open Outlook (web or desktop).
b. Go to Settings (⚙️ icon) > View all Outlook settings > Calendar > Shared calendars.
c. Verify Microsoft Bookings is listed under “Manage Scheduling Permissions”.
2. Enable Calendar Sharing & Sync
a. Open Microsoft Bookings > Staff tab.
b. Make sure “Events on Office calendar affect availability” is turned ON for each staff member.
c. Each staff member should confirm their Outlook calendar reflects any new bookings.
3. Test a Booking
a. Go to the public booking page and make a test appointment.
b. Confirm that it appears in the assigned staff member’s Outlook calendar.
Now, your team’s shared booking page should be live, and each staff member’s calendar
